This Policy and Procedure document outlines the responsibilities of Jazzy J’s Dance Academy, along with the processes for new starters, payments, and the expectations we have of parents/guardians and students while attending classes at Jazzy J’s Dance Academy.
We may revise this policy occasionally to keep it up to date and any amendments will be posted on our website.
This version comes into effect on 1st January 2026.
Our Responsibility & Commitment
- All teachers at Jazzy J’s Dance Academy are fully qualified, hold first aid certification, and have been DBS checked.
- A copy of each student’s emergency contact number will be kept on the register. Parents/guardians are responsible for ensuring this information is accurate and up to date.
- In the event of a building evacuation (e.g., fire alarm), all teachers understand their responsibilities. Teachers will guide students to the designated meeting point, and a register will be taken before students are permitted to leave.
- The school is responsible for maintaining a fully equipped first aid kit, including cold packs and other essential equipment. Head injury advice sheets are also available when appropriate.
- In the event of an incident, an accident/incident report will be completed.
- All personal data is managed in accordance with Jazzy J’s Dance Academy’s General Data Protection Regulation (GDPR) policy, which is available on the website or as a hard copy upon request.
Emergency Procedures:
At Jazzy J’s Dance Academy, the safety of our students is our top priority. In the unlikely event of a building evacuation (e.g., fire alarm), our teachers will:
- Guide students to the designated meeting point
- Take a register to ensure all students are accounted for
Parents/guardians should note:
- Any other children accompanying you are your responsibility during an evacuation
- Everyone else in the building should exit via the nearest fire door
Parent/ Guardians’ Responsibilities
- Keep Jazzy J’s Dance Academy updated in writing with any vital information regarding the student, including personal, contact, and medical details. New ‘Personal Details’ or ‘Consent and Conduct’ forms must be completed when appropriate. A copy of emergency contact numbers is kept on the register and must be kept up to date.
- Ensure the safety of their children in the waiting, changing, and toilet areas. Students will only be supervised during class time. Children must not be left unsupervised before or after their class.
- Confirm that their child is fit to attend class, and notify Jazzy J’s of any injuries, medical conditions, or other factors affecting participation.
- Inform teachers of any learning difficulties (e.g., Dyslexia, Autism) to help provide the most suitable teaching methods.
- Notify Jazzy J’s of any allergies or medical conditions, including the actions that should be taken in the event of a problem.
- Provide a valid contact number if leaving their child during class, ensuring they can be reached for the duration of the lesson.
Consent Policy
- In the event of a medical emergency where a parent/guardian cannot be contacted, the parent/guardian authorises Jazzy J’s Dance Academy to seek medical advice and, if necessary, administer first aid for the child.
- If required, the school will contact emergency services first, then notify the parent/guardian using the telephone number listed on the class register.
- Parents/guardians acknowledge that dance is a physical activity comparable to sport, and while every effort is made to prevent injuries, they can occur. Jazzy J’s Dance Academy accepts no responsibility for injuries sustained except in cases of teacher negligence.
- Consent is required for photographs and videos of students while at Jazzy J’s. These images may be used externally on the website, advertising materials, social media, or to produce DVDs of performances. Student names are never used alongside images or videos.
- Dance teaching sometimes requires physical contact between teachers and students to guide posture, alignment, or positioning. Consent is required for teachers to have such contact.
During Lessons
- Please ensure that all young children use the toilet before the lesson begins.
- Ensure that the elastics on ballet shoes are securely sewn and are neither too loose nor too tight.
- Once your child has settled in, we kindly ask that all parents/guardians use the designated waiting areas.
- Students are expected to be kind and considerate to all other students.
Uniform Policy
At Jazzy J’s Dance Academy, wearing the correct uniform helps students feel part of the school community, ensures safety during lessons, and allows teachers to see proper alignment and posture.
General Guidelines:
- All students must wear the appropriate dance attire for their class type (ballet, tap, jazz, contemporary, etc.).
- Hair should be tied back neatly to avoid distractions or hazards.
- Students should not wear jewellery that could cause injury. Stud earrings and culturally or religiously significant jewellery are permitted.
Footwear
- Ballet: Pink leather or canvas ballet shoes with secure elastics.
- Tap: Black tap shoes with hard soles, fitted correctly.
- Jazz/Contemporary: Appropriate jazz shoes, foot thongs or bare feet as instructed by the teacher.
- All shoes must fit correctly and be free from damage.
Additional Items
- Sweaters or warm-up gear may be worn during warm-ups, but must be removed for classes to allow teachers to check posture.
- Students may bring a water bottle to class.
Compliance:
- Teachers may ask students to remove items that are unsafe or do not meet the uniform requirements.
- Parents/guardians are expected to support the school by ensuring their child arrives dressed appropriately for class.
New Pupils
We offer all new pupils a 3-week trial period for £20.00.
This fee is non-refundable and must be paid before beginning dance lessons. Payment can be made via bank transfer, or in the studio by card or cash.
After the 3-week trial, students wishing to continue may sign up for GoCardless, our Direct Debit system. A £30.00 non-refundable admin fee, plus any remaining class fees, will be payable at this stage.
Parents/guardians of new starters are welcome to sit in and watch for the first few lessons; however, once the new starter has settled in, we kindly ask that all parents/guardians use the waiting areas provided.
Fees
Class fees are charged via Direct Debit on the 1st of each month or invoiced on that same date for students who are not yet registered with GoCardless.
For those who receive invoices and pay via bank transfer, the invoice number and student’s name must be included in the payment reference.
If a student wishes to stop attending classes, 1 month’s notice is required and fees will remain payable throughout this notice period.
All missed classes are chargeable, except in cases of long-term illness, where alternative arrangements may be considered.
